Privacy
policy.
What we collect when you enquire, why we need it, and how to have it deleted. You are telling us about your child, so this page is specific rather than general.
1. Who this covers
This policy covers StudyNote Tuition (ABN 57 880 380 382) and this website. It applies to anyone who enquires, books a session, or is taught by us, to the parents and guardians who arrange it, and to anyone who applies to tutor with us.
2. What we collect
From the enquiry forms, and no single form asks for all of it: your name, your email address, your phone number if you choose to give it, your kid’s year level, the subject you are asking about, whether you would prefer one-to-one or a small group, when you are free to talk, and whatever you write in the message box. The short form on the how it works page asks for four of those and does not ask your name or your phone number at all.
The phone number is optional and the message box is optional. Everything you are not sure about can stay blank, and an enquiry with three fields filled in is a perfectly good enquiry.
From the tutor application, if you are applying to teach with us: your name, your email address, your phone number, what you teach now, your qualifications, whether you hold a current Working with Children Check and teacher registration, and your CV, as a file or a link. That is used to consider your application and for nothing else.
Once sessions start we will also hold what is needed to teach: your kid’s name, their school, the topics they are working on, and notes on what we covered. We collect that from you in conversation, not from this website.
3. Information about a child
Most of what you tell us is about someone under 18, so two rules apply on top of everything else on this page. We ask a parent or guardian to make the enquiry rather than the student, and we do not ask for more about a child than teaching them requires.
The enquiry form does not ask for your kid’s name, their school, their marks, or any diagnosis. If you choose to tell us any of that in the message box because it is relevant, we hold it on the same terms as everything else here, and you can ask us to delete it.
4. Who else sees it
The enquiry forms are delivered by Web3Forms, a form relay that passes the submission to our inbox. Your enquiry passes through their systems, which are outside Australia, on the way to us. We use them so that this site does not have to run a server of its own.
The fonts on this site are served from this site. They are not loaded from Google or any other font service, so no third party learns that you opened a page here.
Beyond that one, nobody. We do not sell your information, we do not swap it, we do not send it to advertisers, and we do not pass it to another tutor or agency. The only other circumstance in which we would disclose it is where the law requires us to. That includes where we hold a genuine concern for a child’s safety, which we would act on.
5. What we use it for
Answering your enquiry, arranging and running sessions, and sending you the invoice. If you applied to tutor with us, considering your application. That is the whole list.
We do not run a mailing list. Enquiring does not sign you up to anything, and you will not receive marketing from us because you asked a question.
6. Cookies and analytics
This site sets no cookies, stores nothing in your browser, and runs no analytics or tracking of any kind. There is no consent banner because there is nothing to consent to.
If that changes we will say so on this page before it changes, not after.
7. How long we keep it
An enquiry that does not lead to sessions is deleted within twelve months, and so is an application that does not lead to work, CV included. Records for a student we have taught are kept while we are teaching them and for two years afterwards, in case a question comes up about what was covered or what was charged. Anything we are required by law to keep for longer, such as records behind an invoice, we keep for as long as that requires and no longer.
8. Seeing it, correcting it, deleting it
Email hello@studynote.com.au and ask. You can ask what we hold, ask us to fix something that is wrong, or ask us to delete it, and you do not have to give a reason for any of the three.
We will answer within 30 days. Deletion is done unless a law requires us to keep the record, and if that applies we will tell you which record and why.
9. Keeping it safe
Enquiries reach us over an encrypted connection and are held in an email account with two-factor authentication on it. Session notes are held on a device that is encrypted and password-protected. We are a small operation and we do not pretend to have the security apparatus of a large one. What we have is a very short list of people with access to anything, and it is us.
10. If you are unhappy with how we handled it
Tell us first, at hello@studynote.com.au, and we will look into it and write back within 30 days. If our answer does not settle it, you can take a privacy complaint to the Office of the Australian Information Commissioner at oaic.gov.au.
11. Changes to this policy
We may update this page. The date below is the version you are reading. If a change materially affects information we already hold about you, we will email anyone it affects rather than rely on you re-reading the page.
12. Questions
Ask, and you will get a straight answer. Get in touch, or read the terms and conditions, which cover bookings, fees and cancellation.
